How to actually choose driving school software.

If you have made it to this guide, you are probably looking at a screen full of options. Some have nice videos. One has a chatbot that wants your phone number before showing pricing. Another has a salesperson who is texting you on Viber. We have been on both sides of this conversation. Here is what we wish a friend had told us, in order.

Before you talk to anyone

Spend an hour writing down what your day actually looks like. Not what you want it to look like. What it is. From the first chiya at 6 AM to closing the gate at 7 PM. The truth is in those small steps, and a system either fits in them or it does not.

Three honest questions to start with

  • How many active students do you have today, on paper?
  • How many of those students have a payment that is not fully cleared?
  • If your accountant disappeared tomorrow, could you reconcile last week without them?

If the answer to the third question is no, no software will save you on its own. Plan to take training seriously, and to keep one person in the office who learns the system end to end.

The five things that almost never matter in the demo

Skip these

AI features that nobody can show you running. Mobile apps with no offline mode. Cloud uptime certificates. The number of customers, especially when they are in another country. Glossy onboarding videos.

Demos love the showy bits. A live dashboard with twelve charts looks brilliant for the first ninety seconds. Then you have to actually issue a receipt at 5 PM on a Thursday with a queue of three students. Watch how the system handles that. Watch where the salesperson’s mouse hesitates. That is the truth of the product.

The five things you should test in the demo

1. Make them create a real student

Bring a real student record, with a real package, a partial payment and a Likhit date. Have the salesperson create it on screen. If it takes more than two minutes, your front desk will hate it.

2. Issue a receipt for that student

Then issue a receipt. Print it. Send it to your own WhatsApp. If those steps require copying anything from one screen to another, the system is not ready for daily work.

3. Add an instructor and mark their attendance

Add a guru with a salary structure that matches yours. Real money, not round figures. Mark their attendance for two weeks. See what the payroll line looks like. Ask what happens when they take a half day.

4. Add a vehicle with a Bluebook due date

Set the date to next week. Watch how the reminder appears. Where does it show up? On the dashboard? In an email? On WhatsApp? If it only shows on a screen you do not open daily, it does not exist.

5. Export the whole demo dataset

Ask them to export everything to Excel, in front of you. The day you want to leave a vendor, this matters more than every other feature combined. Vendors who say “we can help you export later” are vendors who hope you will not ask later either.

Pricing, plainly

Most centers in Nepal land between Rs. 2,000 and Rs. 5,000 per month for a real system. Annual billing usually saves around twenty percent. Anything significantly cheaper is either incomplete or about to get more expensive. Anything significantly more expensive needs an unusually good reason.

The expensive surprises live outside the headline price. Setup fees that get added at the contract stage. SMS charges per message. Charges for adding an extra user. Hidden caps on student records. Ask each vendor, in writing, what would push the monthly bill above the headline price. If they cannot answer, you have your answer.

Support, in your language

Software fails at 4:35 PM on a Saturday. Whose phone rings? Pick a vendor whose support is in Nepali, on Nepali hours, picked up by a Nepali person. Test it before you sign. Call the support number twice, on different days, in the afternoon. If it goes to voicemail both times, you have your answer.

The five mistakes we keep seeing

  1. Buying for a center twice the size of yours, hoping you will grow into it.
  2. Buying for a center half the size of yours, because it looked simple.
  3. Skipping the training because the owner trusts their accountant to handle it.
  4. Running paper and software in parallel for six months instead of one month.
  5. Signing an annual contract before completing one full payroll cycle.

The fourth one is the most expensive. Parallel records are a great safety net for the first four to six weeks, but after that they become a polite excuse to never trust the system. Decide on a switch date. Mark it on the calendar in the front office. Hold it.

How to make the decision

If you have shortlisted two or three options, do not pick the one with the best demo. Pick the one with the worst sales follow up that still answered your specific questions. Vendors who chase you on Viber will chase you when their software has a bug. Vendors who quietly answer your questions in writing will quietly fix the bug.

“Two of the three vendors I spoke to forgot my name by the third call. The one that remembered my fleet size, my fee structure and my instructor count is the one I signed with. Software is forgettable. Memory is not.”

One last thing

There is a good chance you do not need the most powerful system on the market. You need the one that fits your Tuesday night. The one that makes a real receipt in twelve seconds. The one that reminds you about the Bluebook before the engine starts knocking. The rest is a slide deck.

If we are on your shortlist, we would be honoured to be one of the questions in your demo. If we are not, we hope this guide makes the decision a little easier anyway. Either way, good luck.
